Privacy policy

Encore Webinar is operated by VOOV Software, LLC. This policy explains how we handle information when you use encorewebinar.com, sign in to a firm workspace, register for a webinar, or attend a presentation. Contact [email protected] with privacy questions or requests.

Information we process

For workspace users, we process account identifiers, name, email address, firm membership, and access permissions. When you choose Google sign-in, Google and our authentication providers supply basic identity information, such as your name, email address, profile image if supplied, and provider identifier. Google sign-in does not give Encore access to your Gmail messages, Drive files, or contacts.

For attendees, we process registration details you submit, consent choices and timestamps, viewing progress, engagement with presentation features, and private questions and host replies. Firms upload presentation videos, page content, disclosures, and scheduled messages. We also process technical information needed for security and operation, such as request logs and session identifiers.

How information is used

We use information to authenticate approved users, provide webinars, deliver requested service messages, support firms and attendees, maintain records, prevent abuse, and administer billing. The hosting firm receives its attendees’ registration and engagement records and private questions. Its own privacy policy governs how it uses those records and any follow-up communications.

Service providers and sharing

We use service providers for authentication, database hosting, application hosting, video delivery, storage, email delivery, and billing. These include Auth0, Supabase, Railway, Cloudflare, Stripe, and, when enabled, Amazon Web Services. Payment details are handled by Stripe; Encore receives billing identifiers and payment status. Information may be processed in the United States and other countries where our providers operate.

We do not sell personal information. We may disclose information when legally required or necessary to protect the service and its users. Firm-configured integrations may receive information needed for their enabled functions and applicable consent choices.

Cookies and security

We use session cookies and similar mechanisms to maintain sign-in and operate the service. We apply access controls to separate firm records and restrict workspace access to approved accounts. No system can guarantee absolute security.

Retention and your choices

We retain information as needed to provide the service, administer agreements, maintain required records, and resolve disputes. Firms may enable extended archive retention, including a six-year retention setting. A deletion request may be subject to a firm’s legal recordkeeping obligations or other applicable requirements.

Contact the webinar’s hosting firm about its attendee records, or contact us for help identifying the responsible firm. You may also contact us to request access, correction, export, or deletion of your information, subject to applicable law and identity verification. Google account permissions can be reviewed in your Google account settings.

We may update this policy as the service changes. The effective date above identifies the current version.
